As a Senior Project Coordinator / Assistant Project Manager, you will be responsible for providing on-site administrative/coordinator support to the Project Manager and Site Superintendent to support new residential high-rise developments and major construction projects.

What Your Day Will Look Like

As a Senior Project Coordinator / Assistant Project Manager, you will efficiently support projects from concept design to completion, ensuring timely delivery, budget adherence, and stakeholder alignment. You will coordinate cross functional teams, streamline communication, and proactively address challenges to keep projects on track. Your strong organizational skills and attention to detail will drive successful outcomes in a fast-paced environment.

Hours of Work: Monday - Friday, 40 hours per week.
Details: Full-time, permanent position.
Work Location: Mixed between the main office in Halifax and onsite construction office. All construction sites are within HRM.

What You’ll Be Responsible For

  • Review, update, and interpret tracking schedules.
  • Issue and track the status of RFI’s and SI’s appropriately.
  • Assist with the issuing and monitoring of shop drawings through procurement logs.
  • Accurately monitor, construct, and issue meeting minutes as required for Team, Trade and Consulting meetings.
  • Assist with requesting pricing, tender recaps, issuing subcontracts, and monitoring their progress; ensure contractual obligations are carried out. Enter signed contracts into Procore.
  • Ensure purchase orders are issued, coded correctly, and provided to the PM on a timely basis.
  • Review SI’s and track potential risk in contract CO’s. Post all subtrade NOC, and coordinate trade pricing and compile owner CO’s.
  • Assist in completing trade SOV’s.
  • Manage and order all required office supplies required to operate field office spaces.
  • Assist in the maintenance of project safety programming, both in office and on site.
  • Conduct quality control activities and inspection programming, and update on completion.
  • Assist with project closeout, including documentation and archiving, maintenance/warranty manuals, deficiencies, and warranty work.
  • Maintain construction database and ensure proper electronic filing.

Your Environment

Your work environment will be shared between the main office and onsite construction offices. This position can encounter a variety of conditions related to construction. Safety hazards can be, but are not limited to, loud noise, seasonal temperature extremes, and high levels of dirt and dust.

Our ideal candidate has 3-5 years in a project coordinator role in the construction industry. You are a highly organized and motivated self-starter who thrives in a fast-paced environment and possesses strong communication, time management, and problem-solving skills. Your ability to manage multiple priorities while maintaining attention to detail will be key to your success in this role.

  • CAD Experience
  • Proficiency in Procore & Microsoft 365.
  • Strong written and verbal communication skills.
  • Effective relationship-building skills to foster cooperative working relationships.
  • Strong conflict-resolution and problem-solving abilities.
  • Ability to handle confidential information with discretion.
  • Excellent time management skills, with the ability to meet tight deadlines.
  • High level of integrity, honesty, and professionalism.
  • Ability to work independently with minimal supervision.
  • Strong attention to detail and commitment to quality.
  • Knowledge of efficient administrative procedures and techniques.

 

Position requires: Criminal Records Check Completion.
